Terms and Conditions

Please read these terms and conditions carefully before attending our events, purchasing our products, or using our services.


1. The Agreement

Hereafter “you” refers to any person/s who are on the Book Dragon Ink website, have purchased or received access to an event, have purchased or received merchandise, have donated funds to operations or scholarships, are a member of a Book Dragon Ink community to any degree, and those who are simply curious. 

Hereafter “us” or “we” refers to Book Dragon Ink. 

These Terms & Conditions govern your use of Book Dragon Ink's services and products, including any content on our website, in the retreat vault, our online writing retreats, in-person writing retreats, podcast, and merchandise. 

By purchasing, attending, or using any of our services or participating in our retreats, you have read, understand, and agree to these terms. 

If you do not agree to all stipulations herein, do not use our services, attend our events, or make any purchases from Book Dragon Ink.

We'll notify all subscribers of any updates by email and through our website, with changes taking immediate effect.

2. Our Services

Book Dragon Ink owns now and will continue to own our services, products, and content, including all related intellectual property rights. We are not responsible for intellectual property disputes between attendees; however, we will cooperate in good faith to help protect participant rights.

Online Writing Retreats

Product descriptions, information, pricing, availability, or offerings, represented here, on our site, or in any promotional capacity may not always be up to date and are subject to change without notice.

We currently offer three retreat experiences:

The Forge (half-day): A 3-4 hour focused prep session that includes clarity exercises, access to group book coaching, and various elements of manuscript and writing process support.

The Cavern (1.5 days): Includes one Forge day plus one full day (7-hour) experience featuring intention-setting, creativity breakthrough sessions, story seed activities, quiet writing time, networking opportunities, and on-demand book coaching access.

The Trove (2.5 days): Includes one Forge day plus two full retreat days with extended coaching support and community building opportunities.

All retreats are conducted via Zoom and require stable internet connection, computer or tablet access, and basic familiarity with video conferencing.

In-Person Writing Retreats

We do not currently offer in-person retreats, however we are planning to develop them soon and all usage guides and prohibitions herein for any product apply also to our development and offering of this service.

Podcast Content

Our podcast and related materials are provided for entertainment and educational purposes only.

Please note: Every retreat experience is unique. While we provide structured programming and professional support, individual results and creative breakthroughs will vary. 

3. Merchandise

We do not currently offer merchandise; however, we have grand plans and will update our terms and conditions accordingly when our products are available for purchase. 

4. Registration & Payment

Registration is completed through Kit (our email system) and/or Squarespace (our website platform) with payment due at time of booking. We accept major credit cards and PayPal, both domestically in the US and abroad.

Prices for the event access you are purchasing are locked in at the time of your registration, regardless of future price increases. Note that our prices will increase as we establish our programming.

Except where required by law, all sales are final. You may request a transfer or credit as described below.

If payment fails to process, we'll attempt to contact you within 48 hours. Failure to resolve payment issues may result in forfeiture of your retreat spot.

In the case of partial payments, the full amount must be paid prior to the event’s start date by a minimum of a week in advance. Failure to pay in full by a week prior to the event will result in loss of your space at the retreat and may result in loss of your payments up to that point since we cannot offer refunds. However, in certain circumstances, and with a minimum of a week’s advance notice, you may choose a later event date in place of the current chosen date. 

5. Returns & Refunds

Returns and refunds are not currently available for participant-side technical issues.

Attendees must have:

  • Access to a device that can access Zoom (we recommend restarting the device and clearing tabs and caches if relevant).

  • Stable internet access that allows them to use Zoom for the duration of the event. Note that if using data on a cellular device, it will pull a lot of data. 

Except as required by law, all payments are non-refundable. If Book Dragon Ink cancels an event or cannot deliver a service as described, we will offer either (a) a full refund or (b) a credit toward a future retreat.

6. Transfers & Changes

You may transfer your registration to another retreat date, or another attendee, up to 7 days before your scheduled retreat, subject to availability. Transfer requests should be emailed to dragons@bookdragonink.com with at least one week's notice.

We reserve the right to cancel or reschedule retreats due to insufficient enrollment or unforeseen circumstances. In the case of natural disaster, illness, or technical outage outside of our control, we reserve the right to reschedule any given retreat day without advanced notice. In such cases, you'll receive a full refund or priority rebooking options, subject to a unanimous decision from Book Dragon Ink CEOs.

7. Community Guidelines for Use & Participation

Expected Conduct

We aim to maintain a supportive and inclusive environment for all participants. Disruptive behavior, harassment, or disrespect toward other participants or facilitators will result in removal from the retreat without refund.

We reserve the right to refuse service or participation access to any human in the case of the person violating our expected community conduct, including disruptive, harassing, or unsafe behavior.

Whilst we expect the above to guard our community from this, we require universal respect for all participants INCLUDING political and social differences. While we do NOT encourage political topics of discussion, we cannot bar them from our community time, especially in moments of national, or universal, unrest affecting a particular attendee or group of attendees. Everyone is entitled to their opinion/s, however they are NOT entitled at our events to use their opinions to cause harm or justify disrespect, underhanded remarks, or aggression—micro or otherwise. We prefer to keep these topics out of our conversation as much as possible and will do our best to redirect conversation if we feel it would best suit the atmosphere of our events or the needs of our participants.

Although we attempt to keep politics and sociopolitical topics out of our general pool of conversation, we will stand strongly on the side of INCLUSION—always. No ethnicity, melanin density, accent, belief system, culture difference, gender, or sexual orientation, will be barred from our events. We only require respect, and we request if at all possible—kindness.

We would also like to assert that the current socio-political discourse surrounding correct usage and application of AI is a very polarizing topic. Book Dragon Ink has written their group policy and personal perspectives in their AI policy here

However, AI usage is a personal choice and while we have our own individual opinions, especially around generative AI, we don’t presume to tell others what choice to make. 

We do request that people not challenge or attack others overtly or indirectly for their own perspectives and usage.

Book Dragon Ink is a creativity-supporting, growth-minded business. We firmly believe that what you put out into the world with words and actions is what you get back. Why not take Karma by the horns and make it all kind and respectful?

On that note, we DO request, with all due respect, that all participants make a concerted effort to respect the pronouns of all attendees. If someone corrects you on their pronouns, please do not take up arms in order to defend yourself, a “thank you” or “oops, so sorry” followed by correct use of their pronouns, will go quite far towards helping all attendees feel welcome and comfortable. If, however, you need to ask another attendee to use your pronouns correctly, please also do so with kindness, assuming if at all possible that they are simply trained to assume, whether based on presentation or otherwise, the gender orientation of others and all they need is a kind opportunity to practice adapting their language.

In summary:

In the great words of Thumper from Bambi, “If you can’t say something nice, don’t say nothin’ at all.”

Recording & Sharing

Absolutely no recording of retreat sessions is permitted by any attendee. This protects the privacy and creative vulnerability of all participants. 

If any attendee is found to be in violation of this rule, they will be asked to leave and their recording destroyed. If for some reason it is learned later that a recording made in violation of this rule is used, shared, or sold for any reason, Book Dragon Ink may take legal action.

If for any reason Book Dragon Ink decides to record an event, you will be alerted and have the option to go off camera and change your tagged name. The cases in which this may become relevant are to serve the purpose of Book Dragon Ink’s ability to improve as a resource and support system for their attending community and to, potentially use clips that don’t include attendees (or in which they are blurred or cut out) for our promotional purposes.

Other Media Use

At each retreat, Book Dragon Ink will announce a group photo opportunity. No one is required to be on camera, but BDInk would love to have these as memories from our retreats. Moreover, these may be shared on social media and on our website. You will be provided with the option to consent to, or reject, or use of your name or image.

These images can be shared by attendees to these events and they may tag themselves in the image on social media. However, these images of the group may NOT be trimmed down to highlight specific attendees and if the image is used in any way that can be construed as negativity toward a particular attendee, BDInk will request the removal of the image and any reference to BDInk’s connection to the accompanying message. 

Book Dragon Ink  reserves all rights to the use of these images; if they are not used according to these parameters, the violating user will be asked to remove the image. If that does not work, we may seek legal advice and/or take legal action.

No sharing of retreat materials outside the group is allowed. This includes worksheets, story seeds, or other participants' shared work. Treat this retreat as if all attendees’ creative works are protected by NDAs.

Coaching Access

Coach availability during retreats is provided on a first-come, first-serve basis in group settings or brief private consultations as time allows. This is not individual coaching or editing services.

The attending coach may vary, depending on the event. BDInk will do their best to announce who the attending coach will be. In the event that a back-up coach attends in place of the coach announced for any reason, BDInk will still do their utmost to announce the substitution, but we make no promises as our ability in such a case may prove to be very context dependent. 

Technical Support

While we'll do our best to help with basic Zoom issues, we cannot provide comprehensive technical support. Please test your setup before the retreat begins.

Testing your setup or troubleshooting may involve restarting your computer or tablet, ensuring that your cords are working, and logging back in using the link provided in your email and on the dashboard page that we call “The Vault.”

8. Privacy

What of your information is collected and what we do with it:

  • When you use our website for any purpose, cookies may be collected for us to register the kind of device you are accessing our site from, where you are located in the world (very general state, country, or region, not your exact location), how long and where you stayed, and how you came to our site in the first place (a link, a web search, or by typing our name into your browser directly.

    • This helps us to track OUR analytics and does NOT collect personal information.

  • When you sign up to our newsletter, your name and email address will be collected and stored in our email management system/s (Kit and Substack). They will NEVER be sold by Book Dragon Ink to any third party.

    • Your email is only used to send you our newsletter or whatever information you have signed up for (for example, if you sign up for information about upcoming retreats, you will be sent those emails).

  • When you sign up for a paid event, your name, billing information, and email address will be safely stored in our payment manager (Stripe, Paypal, and/or Squarespace), but will NOT be accessible to us directly, ever. If you ever receive an unexpected and suspicious charge from someone claiming to be Book Dragon Ink, please block it, contact us to affirm that it was not us for any reason (like a recurring membership fee), and contact your bank to inform them of suspicious activity.

9. Your Work & Our Content

Your Creative Work

Everything you write during our retreats belongs to you. We will never claim ownership of your stories, characters, or creative work.

Our Materials

All retreat materials, worksheets, story seed prompts, and coaching content are proprietary to Book Dragon Ink. You may use these materials for your personal writing practice but may not share, reproduce, or distribute them.

Participation does not grant any license to our intellectual property beyond personal, non-commercial use.

Testimonials & Feedback

We may use feedback—anonymized, or signed with participant’s permission to share—and testimonials for marketing purposes. If you prefer your feedback remain private, please let us know when submitting.

10. What We're Responsible For (And What We're Not)

Our Commitment

We're committed to providing professional, organized retreat experiences with qualified coaching support and a welcoming community environment conducive to energizing creative flow for our participants.

Your Responsibility

You're responsible for your own creative work, writing goals, technical setup, and participation decisions. We provide tools and support, but cannot guarantee specific creative outcomes, manuscript completion, or the (albeit subjective) quality or results of your final manuscript.

You are also responsible for abiding by the community conduct guides and, to the best of your ability, maintaining the atmosphere of sanctuary and motivation that Book Dragon Ink curates with such care.

Technical Issues

While we use reliable platforms such as Zoom—internet connectivity and technical issues are beyond our control. Book Dragon Ink takes measures to have backup methods for hosting our retreats, but if something prevents our ability to be present or to host our retreats as promised, see the refunds section herein to see your options.

Book Dragon Ink shall not be liable for delays or failures caused by events beyond our reasonable control, including but not limited to acts of nature, internet outages, strikes, or governmental actions.

We cannot provide refunds for technical difficulties on your end.

Limitation of Liability

If something outside our Book Dragon Ink’s control should happen that violates our agreed upon responsibilities laid out herein, we cannot be held liable. However, if it might affect your right to privacy, Book Dragon Ink will do our utmost to alert all affected users of our site, content, and attendees of our events as quickly and efficiently as possible. 

Book Dragon Ink cannot be held liable for any words or actions other users of our products or attendees at our events speak, write, or do. They will be held accountable according to our policies, abilities, and knowledge of the event.

To the fullest extent permitted by law, our total liability shall not exceed the amount you paid.

11. Legal Details

These terms are governed by the laws of the state, or states, Book Dragon Ink LLC is registered in. 

All parties agree to attempt informal resolution of all disputes within 30 days of the issue before initiating arbitration.

Each party shall bear its own costs and attorney’s fees in any dispute arising under this Agreement.

If any part of these terms becomes unenforceable, the rest remains in full effect.

Acceptable Use

You may use the products, services, and content only for their intended, lawful,  purposes. By visiting our site or using any of our products or services, you hereby agree to not use the products, services or content: 

  • In any way that violates federal state, or local laws or regulations (including, without limitation, any laws regarding the use or export of information outside of the US).

  • For the purpose of exploiting or harming any business or individual for any reason, in any way—including using any unlawfully gained information of any kind.

  • To use, transmit, steal, solicit, or generate promotional material.

  • To impersonate or attempt to impersonate Book Dragon Ink or any owner, employee, contract worker, or attendee (including the use of any email or promotional tools resembling or impersonating those of Book Dragon Ink).

  • To stalk or harass  or attempt to stalk or harass Book Dragon Ink or any owner, employee, contract worker, or attendee (including the use of any email or promotional tools resembling or impersonating those of Book Dragon Ink).

  • To engage in or conduct any activity that restricts the use, enjoyment, or other intended purposes of any of Book Dragon Ink’s products, services, or content.

  • In any way that violates, or might violate copyright laws (which includes any information concerning other users or attendee’s discussion of their books).

  • To spread false or misleading content or any kind about anyone.

  • To spam or scam Book Dragon Ink or any other users of our content, services, or products.

  • For any reason other than its intended use.

Misuse of our content, services or products may result in:

  • Termination of your subscription/s.

  • Dismissal from any events or services without refund.

  • Informal discussion in an attempt to understand and resolve any issue or complaint, followed by legal litigation if a resolution cannot be easily achieved amongst ourselves.

These Terms constitute the entire agreement between you and Book Dragon Ink and supersede all prior discussions or communications.

Violation of these terms may result in immediate termination of access without refund and may expose you to civil or criminal liability.
